Promptly ("we", "us") provides an AI call assistant platform that answers, transcribes, and helps manage phone conversations on behalf of businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
2. Information we collect
- Account data: name, email, business name, phone number, and avatar.
- Call data: recordings, transcripts, summaries, caller phone numbers, and outcomes generated by our AI agents.
- Customer & contact data you upload to your CRM (names, numbers, notes, tags).
- Usage data: pages viewed, features used, device and browser information, and IP address.
- Billing data processed by our payment provider; we do not store full card numbers.
3. How we use information
- Operate the service: answer calls, generate transcripts and summaries, schedule appointments.
- Improve agent quality, accuracy, and reliability.
- Provide analytics and reporting in your dashboard.
- Communicate product updates, security notices, and support responses.
- Detect, prevent, and respond to fraud or abuse.
4. Call recordings & consent
You are responsible for complying with call recording laws in your jurisdiction, including obtaining any required consent from callers. Promptly provides configurable disclosure prompts so your AI agent can announce that the call may be recorded.
5. Sharing
We share data with sub-processors that help us run the service (cloud hosting, telephony, speech-to-text, large language model providers) under contractual data-protection terms. We do not sell personal information.
6. Retention
Account data is retained while your account is active. Call recordings and transcripts are retained according to the retention setting in your workspace, after which they are deleted from production systems within 30 days.
7. Security
Data is encrypted in transit and at rest. Access is restricted with role-based controls and audit logging. No system is 100% secure; you are responsible for safeguarding your account credentials.
8. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data. Contact us at privacy@promptly.ai to make a request.
9. Children
Promptly is not intended for individuals under 16.
10. Changes
We may update this policy periodically. Material changes will be announced in-app or via email.
